We have an immediate opening for a full-time Records Assistant in the Los Angeles office.  This is a non-exempt position, and may require overtime work.  We are looking for candidates who are self-motivated, organized and detail oriented. 

Responsibilities

  • Process new business intake requests in accordance with requirements, coordinating resolution of questions and missing information with legal secretaries and attorneys.
  • Establish files for new matters.
  • Update and maintain records-related information using software application.
  • Maintain traceability for all correspondence using group email systems and other mechanisms, as directed.
  • Perform clerical tasks related to updating and maintaining client files in accordance with procedures.
  • Communicate and correspond with attorneys and secretaries, performing research and responding to questions and information requests regarding matter status. 
  • As needed, assist with other records tasks, including review of closed client files to determine eligibility for disposal, per retention rules.

Qualifications and Experience

  • Accuracy in grammar, spelling, and punctuation.
  • Familiarity with standard office computing applications (MS Office) and ability to type at least 40 wpm.
  • Detail-oriented and commitment to producing high-quality work.
  • Ability to work independently and deal with competing priorities under occasional high-pressure deadlines.
  • Analytical and creative approaches to problem-solving.
  • Excellent organizational and interpersonal skills.
  • Ability to routinely work with standard file boxes weighing up to 40 pounds, and in environments that may include exposure to dirt and dust.
  • A team player with a strong work ethic and positive attitude in a fast paced environment. 
  • Ability to apply common sense understanding to carry out instructions furnished in written and oral form.
  • Previous law firm records experience preferred.

Education

  • College degree preferred. 
  • High school diploma required.
