IP Prosecution Secretary
Sheppard, Mullin, Richter & Hampton LLP, an AM Law 100 firm is currently seeking an IP Prosecution Secretary in our Del Mar Office.
Position Summary: The IP Secretary will be primarily responsible for providing administrative support to IP Attorneys in all aspects of patent prosecution. Assists with daily workflow regarding procedures and related documentation and is responsible for reporting documentation to clients.
Essential Functions and Responsibilities:
- Administrative tasks include, but are not limited to, maintaining client files, scheduling client meetings, preparing cost estimates and budgets, travel reservations, entering time, prompt submission of expense reports and vendor invoices.
- Proactively manage the prosecution docket ensuring all deadlines are met in a timely manner, and docket updates are communicated to the docketing team.
- Official correspondence includes, but is not limited to, application data sheets, declarations, power of attorneys, assignments, IDSs, replies, amendments, issue fee payments, 92bis, extensions, change of address, etc.
- Prepare client reporting letters, foreign attorney instruction letters, CPI status and docket reports for attorney review.
- Communicate directly with clients, foreign attorneys, and USPTO under the direction of a patent attorney or agent. Double check work product before presenting to attorney for review and again before sending or filing.
- Ensure that client‐matter numbers are opened according to the IP Section’s guidelines and before work is started.
- Timely review and forward annuity information to the annuity team, and send foreign attorney invoices to finance.
- Maintain client files, enter time, and prompt submission of expense reports and vendor invoices.
- Experience working with CPI, FIP and/or First‐to‐File software is a plus.
- Perform additional responsibilities as requested.
